Purpose of Role
 
The Health and Wellbeing Programme Officer will oversee the daily operations of the back to health project, including coordinating, training, and recruiting volunteers, managing program data, and collaborating with the Project Development Manager to further develop the initiative.

​

Key relationships: Hillingdon Hospital, Hillingdon Residents, Public Health & VCSE Partners.

 

Responsibilities 

​

1.    Project Management:
a)    Design call scripts for volunteers.
b)    Collaborate with partners and stakeholders to establish clear referral pathways.
c)    Establish referral pathways back into the hospital.
d)    Coordinate with information governance colleagues to ensure all data access and protection assessments are completed.
e)    Monitor project progress, identify risks, and implement mitigation strategies to ensure successful outcomes.


Service Delivery
a)    To better understand the reasons that people are unable to attend their appointments
b)    Ensure service is developed to capacity with a total of 600 patients being called each month – 300 on waiting lists across the two hospitals and 300 who have recently been discharged.  
c)    To keep a log of lessons learnt and propose service improvements – using a plan, do, study, act (PDSA) cycle. You will share these learnings across NW London to support other sites to adopt the service.
d)    To engage with other hospitals delivering similar volunteer services in order to develop the service.
e)    To be responsible for the timely collection of a range of data for the comfort call volunteer service.
f)    Support development and delivery of role specific training for the volunteers
g)    Ensure data is being captured and surveys completed – sharing this with Helpforce for evaluation purposes

Volunteer Recruitment, Onboarding, and Training
a)    Champion best practices in volunteer recruitment by engaging with other voluntary and NHS organizations to share insights and develop successful programs.
b)    Serve as an expert in processing DBS applications, verifying identities, and managing personal information securely. Conduct pre-placement checks and issue resourcing schedules on time, while monitoring and addressing any outstanding clearances.
c)    Ensure effective use and accurate maintenance of Volunteer Management Software.
d)    Develop recruitment materials for the volunteer service, including role descriptions, availability schedules, and templates.
e)    Participate in community recruitment campaigns, as well as online and virtual events, to promote volunteering and mutual opportunities.
f)    Collaborate with Learning and Development and Education teams to ensure new volunteers are enrolled in corporate induction when needed.
g)    Ensure the timely and accurate entry of new starter information.
h)    Manage and support volunteers within the Comfort Call Volunteer Service, in alignment with Trust volunteering policies.

General Duties  

1.    To be pro-active in maintaining personal and professional learning and development and identify own training needs as they arise.  
2.    To attend meetings, away days, and other similar events  
3.    To participate fully in regular one-to-one supervision sessions and in  regular performance appraisal  sessions.
4.    Work as part of the team to seek feedback and continually improve the service. Undertake any tasks consistent with the level of the post and the scope of the role, ensuring that work is delivered in a timely and effective manner.  
5.    Ensure compliance with all relevant policies and procedures in relation to health and safety, equal opportunities, safeguarding, lone working, customer service, data protection and confidentiality. 
6.    Work within 3ST policies and procedures including Equality and Diversity, Health & Safety, Confidentiality, Data Security, Lone Working and Safeguarding.

Our Trustees have the ultimate responsibility for directing the affairs of DASH, and ensuring that the organisation is solvent, well-run and delivers its charitable outcomes for the benefit of disabled people in Hillingdon. 


Previous Board/Trustee experience is not necessary and we recognise the benefits of a diverse Trustee Board.
